Description |
Administration Assistant
Our client, a national charitable organisation requires a part-time administration assistant to work on a national programme that is being implemented.
1. DUTIES AND KEY RESPONSIBILITIES
1.1. Ensures external stakeholders receive a professional, accessible and up to date service.
• Act as a gateway for external stakeholders, answering enquiries where possible and where not possible, ensuring they are directed towards an appropriate point of contact.
• Maintain key stakeholder contacts in database ensuring all personal details are kept up to date, and where appropriate log clear and succinct notes outlining the time, date and nature of the telephone, email or face-to-face contact made to help ensure joined up communication
• Ensure that the relevant web pages on the website and intranet website and are kept up to date and relevant. Uploads new website and intranet information as directed by the Head of Implementation and Senior Operations Officer.
1.2. Provides effective administrative support for key meetings and events
• Schedule and arrange regular conference calls, meetings and events for Head of Implementation, Senior Operations Officer and key stakeholders who deliver services on behalf of the organisation– e.g. partners and consultants.
• Book travel, catering and accommodation arrangements for the Head of Implementation, Senior Operations Officer and relevant key stakeholders where necessary – e.g. Advisory Group members.
• Take clear, thorough and incisive minutes of meetings – e.g. partners meetings, Advisory group meetings, ESV and faith based volunteering pilot project meetings. Ensure minutes are typed up in a timely fashion (within 3 working days or less) and distributed appropriately.
• Manage, sustain and develop the meetings schedule – e.g. Advisory Group, Partners meetings, ESV pilot project meetings, faith based volunteering project meetings, Capacitybuilders communication lead meetings, Capacitybuilders leads meetings, Capacitybuilders local and regional ChangeUp consortia meetings, EVDC national and regional meetings, NNVIA meetings.
1.3. Provides general administrative support to the Implementation Manager and Senior Operations Officer
• Support the Head of Implementation’s budget management as directed – e.g. process invoices, track payments, liaise with suppliers to clarify invoice details.
• Format documents ensuring they are correctly branded and laid out – e.g. reports, marketing materials, website and intranet uploads.
• Be proactive in providing a high level of customer service, working with colleagues across the organisaton to ensure appropriate knowledge about key stakeholders is shared.
2. GENERAL RESPONSIBILITIES
• Be proactive in keeping up to date with developments affecting your work and maintain and improve personal competence through continuous professional development.
• Take direction on projects and priorities from your line manager, which may vary from time to time.
• Work to administration and communication protocols efficiently to ensure that organisational systems and procedures are implemented.
• Abide by all organisational policies, codes of conduct and practice.
